A practical task follow-up checklist for professional firms
Use a simple owner, deadline, status and next-action checklist to organise client work across WhatsApp conversations.
Start with one clear owner
For every task, record the client, the deliverable and one person responsible for the next action. Multiple people can contribute, but shared responsibility should not make the next step unclear.
Define the status words
Choose a small vocabulary your team can use consistently: not started, in progress, blocked, ready for review and completed. Agree which tasks need review before completion.
Make a blocked update useful
A useful blocked message names what is missing, who can unblock the task and the next follow-up date. “Waiting” alone does not tell management what to do.
Keep time and status distinct
A status update says where work stands. A work log records time spent against the right client or task. Ask for both where your process needs them; one does not automatically prove the other.
Review exceptions every day
Spend the daily review on overdue work, blocked tasks, missing owners and tasks waiting for approval. Define a sensible reminder frequency for your firm instead of sending repeated reminders indiscriminately.
